MAIN PURPOSE OF THE ROLE

The overall purpose of this role is to provide support to the operational activities of the organization ensuring effectiveness and efficiency.

This role is to ensure that the reception and switchboard are always monitored, training sessions are prepared for, as well as general office administration duties and support is provided. To ensure that the premises, offices, facilities, fleet vehicles and equipment are always working and function efficiently.

Minimum Requirements:

· Education:

o Minimum of a matric qualification.

· Experience:

o Minimum of 3 years’ experience working within a Fleet & Operations, Receptionist, Switchboard and general administrative environment.

· Competencies / Skills / Attributes / Knowledge:

o Demonstrated ability to develop and manage relationships with a wide range of stakeholders.

o Superior customer service and public relations skills.

o Good decision making and problem-solving skills with the focus on innovation and continuous improvement.

o Excellent communication skills, both written and verbal.

o Detail and accuracy oriented.

o Good time management skills, ability to prioritize tasks and work towards deadlines and work under pressure.

· Working Environment:

o The role is not based in Johannesburg, therefore the incumbent may be required from time, to attend meetings at HIVSA’s Head Office located in Aeroton, Johannesburg.

o May be required from time to time to participate in events and sessions outside of normal working hours.

Key Performance Areas:

· Strategy –

o Expense Initiating and seeking authorisation (RTP).

o Administrative Support for Financial Operations.

o Fleet Management and Cost Control:

· Financial Management – Bank Reconciliations

· Stakeholder Engagement and Management –

o To build and maintain relationships, and provide support to HIVSA’s stakeholders – the internal HIVSA staff, as well as external stakeholders such as donors, funding agencies, IDC, USAID etc

· Product and Services –

o Receptionist and switchboard duties

o Fleet Management

o Premises, Offices and Facilities

o Ad hoc administrative support

o Fleet Management

· Internal Organisational Processes-

o Support with information required for audit and compliance purposes.

o Mitigate and prevent risk through all activities and controls

· People Culture –

o Support HIVSA staff to ensure they have the required resources, and guidance to carry out their duties.

o Manage tasks and performance to support the achievement of objectives.

o Participate in building an engaged and committed culture within HIVSA committed to the values and mission of the organization.
