HR Administrator - Gauteng Province (fixed Term contract for 10 months)

MAIN PURPOSE OF THIS POSITION

The overall purpose of this role is to establish and maintain the payroll support function for the HIVSA-SEF “Work for Common Good” project , which enrols a total of 1000 participants. With a specific focus of administrative support for recruitment , compliance management and remuneration activities , the HR Administrators will report directly to a Payroll Coordinator.

Minimum Requirements
Education: Matric/Grade12
Experience:

  • Minimum of 1-2 years’ experience in an administrative /payroll/ generalist Human Resources environment.
  • Preferably having working experience in an NGO environment.

Competencies / Skills / Attributes / Knowledge:

  • Experience of managing high recruitment volume
  • Demonstrated ability to pay strong attention to detail and show accuracy when working with sensitive information.
  • Computer literacy to work mainly on the MS Office suite, with knowledge of Kwantu System being advantageous .
  • Effective written communication ,Excellent interpersonal, collaboration and communication skills
  • Ability to handle pressure , with high levels of patience and tolerance
  • Must have a valid driver’s licence (of more than 3 years) and be familiar with driving manual vehicles, as they would be driving themselves for spot checks to sub-partners

Key Performance Areas:

  • Onboarding of Participants - Assisting in compiling employee intake forms and assisting employees with completion of documents.
  • Maintenance of up-to-date employee records.
  • Establishing and maintaining proper filing systems.
  • Capturing and updating employee information on the Kwantu System.
  • Ensuring that timesheets are completed correctly, collated, and uploaded onto the SEF Cloud for payroll.
  • Verification of biometric data daily using the ATT02 Report, ensuring that they correspond with timesheets on a weekly/monthly basis.
  • Training of supervisors on the correct use of capturing data of entry and exit times of participants.
  • Identify data needing adjustments and collating weekly reports for review by Payroll Coordinator
  • Payfile preparation on Kwantu System, for verification by HR Manager and approval by Finance Manager
  • Monthly report on Participant Numbers and Movements (exits, replacements, promotions)
  • Assisting with implementing and communicating company policies and procedures to participants
