MAIN PURPOSE OF THE ROLE
The overall purpose of the Office Operations & Logistics Coordinator is to coordinate, supervise and manage operational support activities and staff to ensure organizational effectiveness and efficiency.
This role is to ensure that the premises, offices, facilities, fleet vehicles and equipment are always working and function efficiently.
The Operations and Logistics Coordinator is responsible for the supervision, coordination and management of activities to ensure a fair and just working relationship between HIVSA as an employer and its employees.
Minimum Requirements:
· Education:
o Minimum of a matric qualification.
o A Bachelor’s degree in Supply Chain Management would be an advantage.
· Experience:
o Minimum of 5 years’ experience working within an Operations, Logistics, Property, or Fleet environment.

o Demonstrated ability to develop and manage relationships with a wide range of stakeholders.

o Detail and accuracy oriented, and ability to analyze data and write reports.
o Good time management skills, ability to prioritize tasks and work towards deadlines and work under pressure.
· Working Environment:
o The role is not based in Johannesburg, therefore the incumbent may be required from time, to attend meetings at HIVSA’s Head Office located in Aeroton, Johannesburg.
o Follow a hybrid model of remote and office-based attendance as per company policy.
o Participate in high level on-site based activities to support program and implementation which include donor or other stakeholder site visits.
o May be required from time to time to travel to events outside of the normal office environment.
o May be required from time to time to participate in events and sessions outside of normal working hours.
· Additional Organizational Requirements:
o Valid driver’s license required.
Key Performance Areas:
· Strategy –
o Expense Initiating and seeking authorisation (RTP)
o Administrative Support for Financial Operations
· Financial Management – Bank reconciliations
· Stakeholder Engagement and Management –
o To build and maintain relationships, and provide support to HIVSA’s stakeholders – the internal HIVSA staff, as well as external stakeholders such as donors, funding agencies, IDC, USAID etc
· Product and Services –
o Fleet Management:
– Responsible for vehicle collections, inspections, repairs, safety and security.
– Day to day use of vehicles.
– Driver capabilities.
– Incident management.
– Insurance.
– Fuel cards
– Vehicle standards and maintenance.
– Reporting.
o Premises, Offices and Facilities:
– Management of the daily functioning of the office, its equipment, and surroundings (office equipment, generator, satellite properties, tenant management, storage facilities, relationship with office landlords, office security, etc).
– Coordinate regular property and resource inspections and maintenance.
– Ensure all property and resources are insured and insurance schedules and policies are always updated.
· Internal Organisational Processes-
o Assist in the enforcement of the Fleet Management policy.
o Provide support to the organization on relevant Laws, regulations and matters of compliance.
o Risk Management processes
· People Culture –
o Provide direct supervision of the Finance Operations team, and ensure they are well capacitated to deliver in their roles.
o Train, manage and supervise staff ensuring they have the required support, resources, and guidance to carry out their duties.
o Manage the team and their performance to support the achievement of program objectives.
o Responsible to build an engaged and committed culture within HIVSA committed to the values and mission of the organization.
o Foster a positive and productive work environment that encourages collaboration and professional growth.
